Records Specialist–Seattle

Lewis Brisbois Bisgaard & Smith LLP, a law firm in downtown Seattle, is seeking a Records Specialist. The full-time position requires strong organizational skills, attention to detail and the ability to handle multiple duties with ease. Capacity to quickly learn new software applications is a plus.

Established in 1979, Lewis Brisbois Bisgaard & Smith LLP is a national, full-service law firm with more than 1,400 attorneys and 52 offices in 29 states. Our local Seattle office has 23 attorneys and a fun staff to work with. The hours for this position are Monday through Friday from 8:30 AM to 5:00 PM, with occasional overtime as needed.

RESPONSIBILITIES:

  • Scan, upload and profile all incoming documents from daily mail, emails, flash drives, CDs, and faxes
  • Create new client folders for new matter filing
  • Create chain of custody documentation for incoming and outgoing documents
  • Assist legal staff and attorneys with scanning and special projects as assigned
  • Respond to document management scanning and uploading questions
  • Purge and close files according to firm standards
  • File hard copy documents according to firm guidelines
  • Perform other related tasks as assigned

ABILITIES:

  • Highly organized
  • Interpersonal skills necessary to communicate with attorneys and staff effectively
  • Flexible and volunteers to pitch in wherever needed
  • Resourceful in finding solutions to problems
  • Adapts well to fluctuations in workload and changes in responsibilities
  • Concise and accurate work product
  • Follows instructions, works efficiently, and completes tasks on time
  • Must be able to work the hours of 8:30AM to 5:00 PM with light overtime as necessary
  • Experience in a law firm or in a records role is a plus
  • Reliable and consistent attendance is a must

TECHNICAL QUALIFICATIONS:

  • Strong computer skills with Windows, Microsoft office, and document management systems
  • Experience with Adobe graphics software (Nuance experience is a plus!)
  • Experience uploading documents to and from various forms of media
  • Proficiency using a copier, scanner, and printer
