Office Services Clerk - San Francisco

With 55 offices in 32 states and the District of Columbia and over 1,600 attorneys, Lewis Brisbois is one of the largest and most prestigious law firms in the nation. Our San Francisco office is seeking a talented and knowledgeable person to join the Office Services Team.

Duties include, but are not limited to, the following:

 COPY JOBS:

  • Perform, review and schedule copy jobs
  • Send overflow copy jobs out to vendors when job cannot be completed timely in-house
  • Perform quality check on work of others as requested
  • Ensure employees are following copy procedures
  • Test, clean and restock copy machines
  • Order toner and supplies
  • Troubleshoot basic equipment problems and place service calls when needed
  • Evaluate machines after repaired

FAX JOBS:

  • Send and schedule fax jobs on fax machines
  • Test, clean and restock fax machines
  • Log incoming and outgoing faxes
  • Distribute faxes
  • Order supplies
  • Ensure employees are following fax procedures
  • Troubleshoot fax machine problems and place service calls when needed
  • Evaluate machines after repaired

INCOMING/OUTGOING MAIL:

  • Retrieve, sort and distribute incoming mail
  • Posting and logging postage amount for outgoing mail
  • Deliver mail to post office/mailbox

CONFERENCE ROOM SERVICES:

  • Maintain appearance/organization of the conference rooms
  • Set-up conference rooms with coffee, water & beverages for meetings and depositions

PRINTER TONER CARTRIDGE/MINOR REPAIRS:

  • Change and return recycle cartridges

RELIEF RECEPTIONIST:

  • Answering incoming telephone calls on a multi-line telephone system, collecting detailed information from caller and routing calls to appropriate receiver
  • Greeting clients, guests, and vendors immediately upon their arrival; notifying the appropriate personnel of their arrival; accommodating all inquiries accordingly
  • Receiving and sorting all incoming packages/hand deliveries
  • Processing outgoing mail on a daily basis

QUALIFICATIONS:

  • At least one year of prior experience as an office services clerk or general clerk in a law firm.
  • Experience in using reprographic machines, including models for color and black & white copies.
  • Experience with Microsoft Operating Systems & Applications.
  • Excellent communication skills, both verbal and written.
  • Must be able to lift up to 50 pounds and be able to push, pull, bend, twist, and work standing up for long periods of time.
  • High school diploma or equivalent.
